Insurance & Agency Operations

The DM AgencyFrom the first quote request to the commission behind every policy

The DM Agency serves its local community as an independent insurance agency. WebOrbit built a branded website and custom operations platform that connects the customer journey with the work behind it: quote requests, appointments, customer records, policies, renewals, commission review, and team reporting. The result is one connected workspace shaped around how the agency works.

The problem

Insurance work continues long after a customer requests a quote. The team needs to connect inquiries and follow-ups with customer records, policy terms, renewals, and the commission statements that arrive later. A policy being written and a commission being received are different events. The challenge was to make those relationships clear while giving visitors an approachable way to contact the agency.

02 / The story

The goal

Create a connected experience for both sides of the business: a clear public website for people exploring insurance, and a practical agency workspace for the team. The owner needed visibility across customer activity and commission review, while representatives needed tools and access aligned with their responsibilities.

What we did

WebOrbit designed and developed the public insurance website alongside a custom agency platform. Visitors can explore coverage options, request quotes, and book appointments. The agency workspace brings customer and policy records, assignments, tasks, booking, and follow-ups together.

We built spreadsheet import workflows for the book of business and commission statements, with matching and review tools that connect payments to the relevant policy. The platform also supports renewal follow-ups, dated representative commission plans, referral attribution, earnings tracking, and management reports. Separate permissions control the pages, records, fields, and actions each team member can access.

Tools & technology

React and TypeScript power the website and interactive agency workspace. Vite and Tailwind CSS support the interface, while Node.js, Express, and MongoDB support the application and shared records. Spreadsheet processing with SheetJS connects imported books and statements to reconciliation and Excel reporting. Role-based access gives administrators and representatives the tools appropriate to their work. The platform also includes configurable email and messaging integrations for customer communication.

What changed

The DM Agency has a website and operations platform that connect new inquiries with the work that follows. The team can keep customer and policy context together, track renewals and tasks, distinguish written business from received commission, and review items that need attention. The owner has a shared foundation for agency activity, representative earnings, and reporting, with access controls that reflect the team’s responsibilities.

A clearer route from coverage to conversation

The public website introduces the agency, explains coverage options, and gives visitors a clear place to begin. A guided quote request collects the information the team needs to follow up, while appointment booking supports a more personal conversation. The navy, white, and yellow design keeps the experience consistent with the agency’s Brightway identity.

Customer relationships with policy context

The agency workspace connects customer records with policies, representative assignments, notes, tasks, and renewal follow-ups. Active business, expiring policies, and lost opportunities can be reviewed in dedicated views, helping the team see the next action without losing the history behind it.

Commission statements with a place for every exception

A written policy and a received commission do not always arrive together. Book-of-business and statement imports feed separate workflows, with reconciliation connecting receipts to the relevant policy. Unmatched lines and possible statement issues are brought into review queues so the team can investigate them with the surrounding context.

A shared view for the owner and the team

Agency reporting brings written business, statement receipts, representative activity, and won-and-lost opportunities into useful views. Dated commission plans, referral attribution, and receipt-backed earnings support team management, while access permissions define what each representative can view and change.
